A corporate event photo booth can do more than fill a corner. It gives people something to do between sessions and gets teams who've never met chatting in the queue. Add a bit of branding and every shared photo carries your name with it.
Here are some ideas that work at launches, awards nights, conferences and staff parties.
Branding the corporate event photo booth
The print template is the easiest place to start. Your logo, the event name and the date on every photo, in your brand colours. Keep it clean, as a cluttered template fights with the picture.
Backdrops are the next step. A printed backdrop with your logo, a step-and-repeat banner like the ones at film premieres, or a plain backdrop in brand colours all work. Custom backdrops usually cost more and need artwork early, so ask about deadlines when you book.
Some booths can also brand the start screen, the online gallery and the email or text guests receive. We'll confirm exactly what's included with your quote.
Ideas by type of event
Different work events call for different setups. A few starting points:
- Product launches: props or a backdrop based on the product, and a screen showing photos live in the room
- Awards nights: trophy props, winner signs and a red carpet backdrop, open from the drinks reception
- Conferences and exhibitions: a booth on the stand to draw people over, with an optional sign-up screen agreed with your data protection lead
- Staff parties and away days: team challenges, department signs and plenty of silly props
- Client events: something smarter like a magic mirror, with a neat branded template
Getting people to actually use it
Office crowds can be slow to start. Nobody wants to be first in front of the boss. A friendly attendant helps a lot, and so does a senior manager going in early and setting the tone.
Small competitions work well too. Best team photo, best use of props, a theme for each department. Announce the winner at the end of the night and the booth stays busy right through.
Placement matters. Put the booth where people naturally gather, near the bar or the coffee point, rather than tucked behind a pillar by the cloakroom.
At an all-day event, give the booth a quiet moment in the agenda. A mention from the stage before lunch sends a steady stream of people over, far more than a sign by the door ever will.
Sharing and social media
If you want the event seen online, sharing is the whole point. Many booths send photos straight to phones by QR code or text, and some can add your hashtag or a link to the message. A live slideshow on a screen nearby makes people curious and brings more of them over.
Agree the ground rules before the day. Check with marketing and HR what can be posted, especially if there are clients or confidential projects in the room. And ask the supplier how long they'll keep the photos and any contact details.
Measuring whether it worked
If the booth is there for marketing, decide up front what success looks like. It might be the number of photos shared, sign-ups collected on a stand, or simply that people were still talking about it on Monday.
Ask the supplier what numbers they can give you after the event. Many can tell you how many sessions ran and how many photos were sent out, which is handy for the report you'll have to write for your manager anyway.
GIFs, video and 360
Stills aren't the only option. A GIF booth makes short looping clips that do well on social feeds. A 360 video booth makes slow-motion videos with a branded overlay, which suits a launch where you want something eye-catching.
These usually need a bit more space and sometimes cost more, so it's worth deciding early which format fits your audience.
Practical bits for corporate venues
Hotels and conference centres often ask for PLI and PAT certificates and set access times for suppliers. Some have preferred suppliers. Talk to the events team early and pass on any paperwork they need.
